Event, Training and Group Booking Terms and Conditions

Hereafter; the term Event will mean event, training or group.

Booking does not automatically constitute confirmation of a place. BAATN will confirm all bookings by email or in writing on receipt of a completed booking and payment in full.

For BAATN gatherings:

Most BAATN gatherings are free for members and can be booked any time up until the day before the event. Bookings for non-members can be made at any time except a week ahead of the event. For non-members booking reservations without payment will be held for 1 week before being offered to another person. Without payment in full places cannot be guaranteed. All bookings are made on a first-come, first-served basis.

For trainings/conferences and closed groups:

Bookings for trainings, conferences and closed groups can be made any time up until the day before the event. Full payment would need to be made to guarantee a place. If payment has not been made a week before the event the place will be offered to another person.

Limitation of liability

BAATN does not accept responsibility for accident, injury or loss suffered while attending events unless it is directly due to negligence on its part.

BAATN reserves the right to amend or cancel any event dates. In the unlikely occurrence of a event cancellation, BAATN will return any payments received in advance. BAATN will not, however, refund any costs incurred as a result of this cancellation.

BAATN Event Refund Policy

Full refund

If cancellation is received before 30 days prior to the first day of an event – minus a transaction and administration fee of £4

A cancellation fee of 50% of registration costs

If cancellation is received between 29 to 10 days prior to the first day of an event – minus a transaction and administration fee of £4

No refund (you can transfer your ticket to someone else)

If cancellation is received less than 10 days prior to the first day of an event.

If you are unable to attend the event, you may transfer your booking to a friend or colleague. In this case, you will need to provide us with their registration details at least 2 days before the event – events@baatn.org.uk

Early Bird Payments

If you are making an early bird for an event payment please make sure payment reaches us by the early bird cut-off date. Please note your place is provisional until payment has been received.

Directory Listing Terms and Conditions

When applying for, or renewing a listing on the BAATN directory, you are agreeing to the following: 

  • You are/(continue to be) a member of a recognised professional body with a code of Ethics and a published Complaints Procedure. 
  • You will inform us, confidentially, if you are under investigation for a complaint made against you. Your listing will be suspended until the complaint is concluded. Membership fees will not be refunded during this period.
  • You are in regular supervision preferably with a qualified supervisor/or regular peer supervision if you have been in post qualification practice for more than 3 years.
  • If you are offering counselling/therapy to children and young people, that you are qualified and recognised as child and/or adolescent counsellors/therapists. 

Update Membership Payments

Auto-renewal 

If a member chooses auto-renewal to pay for membership, the member’s credit card information is stored with our payment processor, Stripe. The card is then charged automatically each billing period. Stripe’s privacy policy. Card details are not stored for one-off payments.

Updating your card details 

If you need to update your card details (e.g. card expired), you can log into your account.  When logged in, Click the “Renew, Upgrade or Update Billing” button as shown below.

 

 

 

Your card details are not held by BAATN but by the payment processor Stripe. This means you will not be able to see your card details when you log into your account. We only have access to the last 4 digits of your card and the expiry date if we search on the Stripe platform. 

When you update your payment details and press the Save and Continue button (as below), the following happens:

  • If the card is updated later than 18 days before the renewal date, a charge is made on the card, and membership will continue from the renewal date.
  • If the card is updated earlier than 18 days before the renewal date, the card details are stored, and payment will be made on the renewal date.
  • If the card is updated 18 days after the renewal date, a charge is made on the card, and membership will continue from the payment date.

 

 

 

 

 

 

 

 

 

 

 

Cancelling Auto-renewal

You will receive a notification 14 days and 5 days prior to the renewal date. If you no longer wish to pay via auto-renewal, you can log into your account and choose either the ‘One-Off Payment’ option or the ‘BACS/PayPal/’ option. If you want to cancel your membership altogether, you will need to email memberships@baatn.org.uk before the auto-renewal date. If you email us after the auto-renewal date and your card is charged, a fee of £4 will be payable.

Member Officiated Discussion Groups (WhatsApp, etc) Terms and Conditions

WhatsApp groups and other discussion forums that have evolved from members attending the various BAATN gatherings and events have created much-needed opportunities to continue connecting with like-minded individuals. Whilst we encourage the continued networking and sharing of resources that these platforms provide, members of these discussion groups need to be aware that these forums are not BAATN spaces and for reasons of confidentiality, should not be used to continue discussions already started within a particular gathering. These discussion forums are also not moderated/monitored by the gatherings’ facilitators. As such, BAATN is not responsible for what happens within these forums. It is therefore the responsibility of individual members of these discussion forums, to take responsibility for how these forums run. We recommend that permission is sought from an individual before adding their name or details to a group, in line with General Data Protection Regulations.
